Adult Player Registration and EMC

With the start of the 24/25 league season upon us, we want to thank all the volunteers and players who have helped register over 72,000 adult players ahead of the 24/25 season.

We know some clubs will now be in the process of selecting players for this weekend on Electronic Match Cards (EMCs). We therefore wanted to take the opportunity to make all clubs aware that in the event of unforeseen technical issues this weekend, the following process can be followed:

• If players are properly registered but can’t be selected on EMCs, and the club has not had a resolution through guidance or the helpdesk, then the match can go ahead. The EMC should still be submitted after the match, with the notes section utilised to explain mitigation. Where genuine process has been followed and the club has taken all reasonable steps to comply with registration, but issues have arisen, then an empathetic view will be taken.
• If an EMC result can’t be submitted on the matchcard by 5.30pm, scores can still be submitted by texting the result to the relevant RFU results service on 07908 683303.
• EMCs can be submitted up to 48hrs after a match, so this should still be possible even if unforeseen issues arise over the weekend.
Where clubs are continuing to have issues, but believe they have done everything right and exhausted all avenues of support, we would encourage them to keep a manual record of their teamsheets for the weekend, in case this may be needed at a later date.

Please see below links and information to guidance:

• EMC helpdesk is open Friday 5pm to 8pm and Saturday & Sunday 12pm to 7pm. You can contact them on 02088317764 and see further details here.
• Outside of these hours you can access information on how to get further support by clicking here.
• For information on how to expedite some RFU Registrations please click here. Please note – Expedited registrations must be completed before 12noon on Friday.

Finally, we’d like to take the opportunity to remind clubs of 3 critical points:

• All registered players need to be assigned to a team to be eligible for EMC selection.
• All players who are Club Registered but play in RFU Leagues Level 8 (Counties 2) and above for men and Level 4 (National Challenge 1) and above for women need to also be uplifted to RFU registration. You can view how to do this here.
• To check on player eligibility for your leagues, please view some supporting guides here.
